Board Duties

Interested in participating as a Board member? Here is an overview of the responsibilities that come with each position.


  • President

    • Chairs all Board meetings and leads Annual General Meeting (AGM).

    • Oversees the CIAA and its financial picture to ensure a healthy balance sheet with an open and transparent approach to governance

    • Builds a cohesive Board to meet the CIAA membership needs of professional development, programs, networking opportunities and volunteerism

    • Plans and executes a strategic planning session of the Board. Develops a new strategy or reviews and refines the strategy in progress.

    • Welcomes new Board members.

    • Monitors, motivates and supports activities of all Board members

    • Liaises with conference director to ensure annual conference is handled in a professional manner and maintains its status as the CIAA's flagship event.

    • Represents the CIAA in any professional, educational, community and or public role, including spokesperson to media

    • Communicates regular updates to members through e-blasts, membership directory and web updates

    • Troubleshoots any issues with membership and external parties

    • Ensures that CIAA administrative support is adequate, effective and responsible

  • Treasurer

    • Prepares annual Association budget in cooperation with President and Board

    • Submits regular financial reports to the Board

    • Oversees invoices and reimburses board members for Association expenses

    • Recommends and monitors prudent investments for Association's excess monies

    • Oversees the annual audit of the Association's financial statements

    • Recommends the approval of the Association's audited financial statements and submits to membership vote at AGM

    • Recommends the appointment of auditors and submits to membership vote at AGM

  • Vice-President, Secretary, Special Projects

    • This post is held by the previous year's Conference Director

    • Acts as a special adviser to the current year's conference director

    • Evaluates conference survey findings and makes recommendation on feasible suggestions

    • Handles assignments as delegated by the President

  • Membership

    • Actively recruits new members and communicate welcome message in co-operation with President.

    • Ensures member inquiries are acknowledged and fulfilled in a timely manner.

    • Administers membership surveys as required.

    • Leads marketing efforts in all membership drives; ensure English and French members are pursued.

    • Reports accordingly to the Board on any initiatives and status

    • Liaises with webmaster to ensure that all web updates are handled in a timely manner.

    • Coordinates job line service on the CIAA web site.

    • Ensures that Membership Directory is up-to-date and distributed.

    • Develops membership marketing materials as required.

  • Luncheon Speakers

    • Plans, coordinates and oversees the luncheon speakers series at the regular seminars

    • Signs off on all marketing efforts to promote events

    • Ensures that the venues meet the needs of the Association

    • Ensures that the Speakers are relevant and provide value-added information to the members

    • Oversees the CIAA's management services supplier to ensure professional and efficient service to members

    • Submits ideas for improvement and if adopted, monitors its implementation

  • Seminars

    • Plans, coordinates and oversees the regular seminar series

    • Signs off on all marketing efforts to promote events

    • Ensures that the venues meet the needs of the Association

    • Recruits and ensures that the Speakers are relevant and provide value-added information to the members

    • Oversees the CIAA's management services supplier to ensure professional and efficient service to members

    • Submits ideas for improvement and if adopted, monitors its implementation

  • Social

    • Plan, coordinate and execute CIAA social and networking functions

    • Organizes annual events including CIAA golf day and CIAA ski day

    • Ensure that volunteers are trained and capable

    • Liaises and negotiates with suppliers on behalf of the CIAA

    • Reports accordingly to Board on status, success and recommends improvements for all events

    • Enlists and train any member volunteers

    • Handle registrations for the two signature events

  • Long Term planning

    • Plan, prepare and present long term planning initiatives for CIAA

    • Secure conference locations for up to five years in advance

    • Submits short list candidates for upcoming conference locations and conduct site visits on behalf of CIAA to ensure venues are suitable

    • Develops selection criteria to ensure all needs are met in terms of accommodation, food and beverage, conference facilities and amenities

    • Arranges and negotiates binding contracts with hotels/conference centres and obtain best possible terms for Association

    • Presents findings to Board and recommend improvements

    • Mentors successor in duties

  • Professional Development

    • Plans, coordinates and oversees the CIAA educational programs outside of seminars and conference. Responsible for:

    • Fundamentals of Accounting Course at White Oaks Resort, Niagara-on-the-Lake, Ontario; a full week insurance accounting basics course for concepts, entries and P&C 1/2 generation

    • The Advanced Course (Winning Strategies) held every two years at the Nottawasaga Inn, Alliston, Ontario; a full week high level insurance concepts and strategy course.

    • The P&C Insurance Finance 101 course; a half-day seminar, typically commissioned by a company and presented on their premises for Board and/ or senior accounting staff.

    • Ensures that the venues meet the needs of the Association and liaises with venue for all requirements.

    • If applicable, forms the committee/members to coordinate the course, set the curriculum of the course, enlists speakers and coordinates any social/networking activities.

    • Secures and briefs industry speakers on the mandate of the programs

    • Enlists and briefs all volunteers who assist with programs

    • Responsible for preparation and distribution of all marketing materials to attract attendees

    • Compiles evaluation results for programs and reports to the Board

    • Prepares budget for professional development programs

    • Ensures that attendees are recognized by certificates of achievement upon completion of programs

    • Oversees the CIAA's management services supplier to ensure professional and efficient service to members

    • Submits ideas for improvement and if adopted, monitors its implementation

    • Mentors successor in duties

  • Special Projects

    • Oversees development of new CIAA web site for 2014

    • Ensures content is populated with accurate and meaningful copy

    • Adheres to approved site map for web site

    • Approves all copy as submitted by agency

    • Ensures functionality of web site meets Association requirements

    • Delivers final product that enhances CIAA's reputation as a progressive Association committed to member needs in a professional and attractive manner.

    • Ensures site provides a secure environment for e-commerce transactions and that member information is not compromised.
